This notice explains how Henry James Building collects, uses and protects your personal data. In short, we only collect personal information if you choose to contact us through our enquiry form, by email or by phone, plus some anonymous usage data if you allow analytics cookies. We do not sell your data or collect anything you have not chosen to give us.

What information we collect

We only collect personal information when you choose to give it to us. If you simply browse the site and decline analytics cookies, we do not collect any personal information about you.

When you contact us through the enquiry form, by email or by phone, we may collect:

• Your email address
• Your phone number (if you give it)
• The location or details of your project
• Anything else you choose to tell us in your message

Analytics (only if you agree)

If you accept analytics cookies, tools such as Google Analytics collect information about how the site is used, such as the pages you visit, your device and browser type and your approximate location (town or city level). How we use your information and our lawful basis

We use your personal data to:

• Respond to your enquiry and arrange a site visit or quote
• Carry out any work you go on to instruct and keep in touch about it
• Keep records for tax, accounting and legal reasons
• Improve our website and services

Our lawful bases under UK GDPR are legitimate interests (to respond to and manage enquiries about our services), taking steps to enter into a contract at your request, and legal obligation (for example keeping financial records). Who we share your information with

We do not sell your personal data. We may share it with trusted service providers who help us run our business, such as our website host, email provider and, where enabled, analytics providers. These providers only process your data on our instructions. We may also disclose information where required by law.

How long we keep your information

We keep enquiry information for up to 24 months after our last contact with you, unless you become a customer, in which case we keep project and financial records for up to 6 years to meet our legal and tax obligations. After that we securely delete it.

• Ask for a copy of the personal data we hold about you
• Ask us to correct information that is wrong or incomplete
• Ask us to delete your data ("right to be forgotten")
• Ask us to restrict or object to how we use it
• Ask for your data to be transferred to another provider
